Oregon Secretary of State 

Over the years, Netforest has provided services to the Oregon Secretary of State to develop a variety of applications for different divisions. Below are some of those projects developed most recently.

Oregon Historical Records Index

Netforest assisted the Archives Division in developing their online Historical Records index. The information is kept internally using Filemaker Pro and consisted of about 600,000 records. The challenge was to allow this information to be searched on the web with fast retrieval times. The successful solution consisted of developing a PHP module connected to a MySQL database hosted on Secretary of State's OS X web server. 

Information is periodically exported from Archives Division's internal Filemaker database and then transferred into the MySQL database via FTP (File Transfer Protocol). Information is retrieved in a matter of seconds from the 600,000 records.

Purchasing and Contracts Section

Netforest developed a web application using Lasso and MySQL that allows Purchasing to manage all aspects of Requests for Proposal. The administrative component allows the proposal and its addendums to be available for vendors on the web. Vendors can register online and receive notification of changes. They can also monitor the status of the proposal and view award information.

Adminstrative access allows staff to manage content for each proposal, such as closing date, description, bid type, contact information, and history of documents.

Netforest worked with the Purchasing Division to convert an existing Filemaker database to Filemaker 8. This process involved improving the User Interface and combining multiple tables into a structure more suitable to the features of Filemaker Pro 8.

In Addition, shipping and ordering information was converted from a batch process based on text files to an XML/XSLT format to accomodate changes required Oregon Secretary of State.

File Rulemaking Notices Online

Netforest assisted the Archives Division in developing a web application that allows agencies to submit Rulemaking and Rulemaking Hearing Notices online by filling out a PDF form. This information is then sent back to the web server and parsed into a format that can be added to a MySQL database. Finally the data is automatically transfered to the appropriate staff person at the Archives Division and imported into their internal Filemaker Database. Both the original sender and the staff receive email notification with the attached completed PDF.

This application was developed using PHP, MySQL, and FDFMergeLite.
